2. A Guide to Data Security in the Class Manager App
Welcome to the Class Manager App! We are committed to helping you manage your classroom data effectively and securely. A critical aspect of this is understanding how your data is stored and the steps you can take to protect it. This guide provides best practices for keeping your student and class information safe.
Your Data is Stored Locally
First and foremost, it is essential to know that all the information you enter into the Class Manager App—including student profiles, attendance records, and academic grades—is stored exclusively on your device. We do not have access to, collect, or transmit your data to any online server. This design gives you full control, but it also means that the responsibility for securing this data rests with you. By following the practices below, you can significantly enhance the safety of your information.
A. Secure Your Device
Your phone or tablet is the primary container for all your classroom data. The most fundamental step in protecting this information is to secure your device itself. Always use a strong screen lock, such as a PIN, password, pattern, or biometric authentication (fingerprint or face ID). This acts as the first and most effective barrier against unauthorized access to all the apps and data on your device, including the Class Manager App.
B. Always Use Encrypted Backups
The app provides the ability to back up your entire database, a feature we highly recommend using regularly to prevent data loss. When you do, you will see two options: unencrypted and encrypted.
We strongly urge you to always use the "Encrypted Backup" option. This method scrambles the contents of your backup file and protects it with a password that only you know. Even if someone gains access to this backup file, they will not be able to read its contents without the password.
When prompted, choose a strong, unique password that is easy for you to remember but difficult for others to guess. Please be aware that we do not store your password, so we cannot help you recover it if it is lost. Safeguard your password, as it is the only key to restoring your encrypted data.
The unencrypted backup option is provided for specific legacy uses, but it saves your data in an open, readable format. This is a significant security risk, and this option should be avoided.
C. Handle Exported Files with Extreme Care
The app allows you to export student lists, CCE reports, and monthly attendance records into formats like Excel (.xlsx) and JSON. While incredibly useful for record-keeping and sharing, these files contain sensitive and personal information about your students.
Be Aware: Unless you choose the encrypted export option (for JSON files), these exported files are not password-protected.
Secure Storage: Once you export a file, it is saved to your device’s storage. Be mindful of where you move or store these files. Avoid uploading them to unsecured cloud services or public computers.
Secure Sharing: If you need to share an exported file, ensure you are using a secure method and that you trust the recipient to handle it with the same level of care.
By remaining vigilant about how you back up, export, and store your data, you can confidently use the Class Manager App to its fullest potential while upholding the privacy and security of your students' information.
